      How to create a schedule for squash/tennis clubs?

      In this article you will learn how to add a schedule tailored to squash and tennis classes using:

      • one type of classes and rooms
      • or several types of classes without rooms

      The schedule is created in 3 simple steps:

      1. Create an instructor profile – it can be a fictitious instructor named Court 1, Court 2, etc. You should create as many instructors as you have courts
      2. Add the type of classes
      3. Determine when the classes will take place

      Adding classes to the schedule by room

      Adding a room to the schedule

      1. Move through the Club settings -> Configuration -> Calendar -> Calendar -> select the „Rooms in calendar” slide to „Yes” -> save changes

      2. In the My calendar -> Rooms tab -> add rooms by clicking on the plus icon in the upper right corner:

      3. Type the room’s name and save changes:

      Important! Create as many rooms as you have courts.

      Adding a schedule with room

      1. Move through the My calendar -> Timetables -> click on the lightning icon in the upper right corner:

      2. Fill in the fields:

      A) Class type – select from the list the type of class created according to the tutorial from second step
      B) Instructor – select from the list the instructor created in the Club/Network Settings -> Employees tab
      C) Attendance limit – set attendance limit to 1
      D) Room – select a hall, or court number, from the list
      E) Start – select the date from which the activities should appear on the schedule
      F) End – select the date until which the activities should appear on the schedule
      G) Duration of classes (in minutes) – specify the court reservation time, e.g. 45, 60 (min)
      H) „Automatic renewal” slider – check the slider to Yes if you want the schedule not to end after the date selected in the „End” option. Enter how many days before the end of the schedule, the classes should renew and by how many days/weeks/months the schedule should be extended:


      I) Background colour for classes in calendar – select the color of the tile on the graphic from the color palette
      J) Font colour for classes in calendar – choose the color of the text on the activity tile
      K) „Colour used to highlight no vacancies” slider – select the slider to Yes to distinguish available courts from those already occupied. Select the color of the tile and the color of the text using the color palette:

      L) „Visible on member zone” slider – check the slider to Yes to allow club members to sign up for courts through the Club Member Zone and mobile app

      Then go on to select the days of the week and the hours when court reservations are possible. By clicking the „Add” button, you can add a schedule immediately for the whole week.

      In the „From” hour, enter the opening time of the court, and in the „To” the last hour of possible reservation. For example: if club members sign up for hourly track reservations, when you select the hours from 8:00 am to 8:00 pm, the system will automatically divide the classes into hourly blocks on the class schedule:

      Members can also check court occupancy by room and use filters to easily search for available courts:

      Adding activities in the schedule by activity types

      1. Move through the Club Settings -> Configuration -> Schedule -> Activity Types -> click the plus icon in the upper right corner to add a new activity type according to the tutorial:

      2. Move through the Graphics -> Schedules -> click the lightning icon in the upper right corner:

      A) Type of class – select from the list the type of class created according to the tutorial from the second step
      B) Instructor – select from the list the instructor created in the Club/Network Settings -> Employees tab
      C) Limit of people – set the limit of people to 1
      D) Start – select the date from when the classes should appear on the schedule
      E) End – select the date until which the activity should appear on the schedule
      F) Duration of activity (min) – enter the time of court reservation, e.g. 45, 60 (min)
      G) Automatic renewal slider – mark the slider to Yes if you want the schedule not to end after the date selected in the „End” option. Enter how many days before the end of the schedule, the classes should renew and by how many days/weeks/months the schedule should be extended:

      H) Background color of the activity occurrence in the activity schedule – select the color of the tile on the schedule from the color palette
      I) Text color of the occurrence of an activity in the activity schedule – select the color of the text on the activity tile
      J) Slider Color of no seats – select the slider to Yes to distinguish available courts from those already reserved. Select the tile color and text color using the color palette:

      K) Club Member Zone Visibility slider – mark the slider to Yes to allow club members to sign up for courts through the Club Member Zone and mobile app

      Then go on to select the days of the week and hours when court reservations are possible. By clicking the „Add” button, you can add a schedule immediately for the entire week.

      In the „From” hour, enter the opening time of the court, and in „To” the time of the last possible reservation. For example: if club members sign up for hourly track reservations, when you select the hours from 8:00 to 20:00, the system will automatically divide the classes into hourly blocks on the class schedule:

      For a squash schedule divided by class types, the view of the rooms is empty:

      Changing the schedule display in the Member area

      If you want to change the schedule display in the Member area, go to Club Settings -> Configuration -> Member area -> Schedule:

      A) Select the possible ways to display the graphic:

      B) select one of the views that will be displayed automatically when you enter the Activities Calendar tab in the Member area
