Manager’s roles and tasks – planning and reporting based on data

One of the main tasks of a fitness club manager is to keep the finger on the pulse and make the right decisions based on data analysis. However, what data should you take into account?

What reports to check? How to analyze them? In this article, we will try to answer these questions.

In a perfect world, it’s best to analyze all data and check all reports. However, in real terms, it is simply impossible to do. So, where to start?

It is worth considering what reports are important from the point of view of our business.

The bigger picture

The choice of reports and the analysis direction depend on the type of club, and the activities carried out. The newly opened club manager does not have historical data and therefore cannot conclude the past. Consequently, it is difficult to determine whether the chosen sales strategy is appropriate and the steps taken will bring the assumed results.

On the other hand, a longer operating club may pick up on some trends, but its sales strategy should include both new customers and retention of existing ones. Finally, the club chain manager analyzes the data in a different way, where it probably differs from the facilities.

Your rules

What data is important from the perspective of your business? What questions do you want to answer? Remember that the eFitness system sends a report to your email address with the most important data, including sales. It can be an excellent basis for a more detailed analysis.

Even if a universal report does not exist, below you will find a few reports that are worth checking, regardless of the club you run.

Sales report

This is a report that will help you find answers to the following questions:

  • How is the sale of memberships?
  • How is the sale of additional services and products (bar) going?
  • Which services/products are selling the best?
  • What is the real price of each pass? Is it worth revising the pricing policy?

Did you know that… you can easily filter the memberships and bar products sold according to the tax rate and prepare a ready-made statement for the accountant. You can also add additional columns like profit to compare bar products.

Frequency Report

Do you know who and when enjoy the services of your club?

With the frequency report, you can see which instructors or classes are more or less popular. Additionally, by analyzing this report, you will check the club’s occupancy in given hours.

The proposed reports are just an example of what you can find in the eFitness system.
